As a rule of thumb: 6 feet seats 4–6, 8 feet seats 6–8, 10 feet seats 8–10, 12 feet seats 10–12, 14+ feet seats 12 or more. These assume standard chair widths and no extra clearance at the ends. Boat-shaped and oval tables often seat one or two more than rectangular tables of the same length.
At minimum, 3 feet from the table edge to the wall — enough for someone to push back and stand. 4–5 feet is comfortable and allows people to walk behind seated guests. Less than 3 feet and the room will feel tight every time someone arrives late.
At 14x18, a 10-foot table with 4.5-foot clearance on each side works cleanly. A 12-foot table is tight but possible with 3 feet of clearance. We recommend sketching the room with chairs out before committing to a size — a table that looks fine without chairs often feels cramped with eight people seated.
Shape affects feel more than headcount. Rectangular tables maximize seating per foot of length. Oval and boat shapes reduce the awkward corners and make conversations easier across the table. Round tables work well under 6 people but don't scale. For most KC conference rooms, a rectangle or boat shape is the right call.
If anyone opens a laptop in your meetings — and they will — plan power before you order. A table with an integrated power module costs more upfront but eliminates extension cords, tripping hazards, and the embarrassment of a dead laptop mid-meeting. It's much harder to add power after the table is installed.
